HR Coordinator - First Financial Corporation - Terre Haute, IN


Responsible for performing a variety of general administrative duties to support the Human Resources department including but not limited to: regulatory compliance, HR compliance, departmental billings/budget, employee training records & processing, maintaining of the FFC telephone directory, and HR Portal administration. Additionally, this position is focused on assisting with department projects and providing assistance and recordkeeping associated with corporate wellness program and related activities.

Associates Degree in Human Resources or related field preferred. One to three plus years of Human Resources experience preferred. Basic knowledge of employment law and HR compliance. Excellent written and verbal communication skills and the ability to maintain/manage confidential information. Ability to make sound judgments on job-related matters, work with minimal supervision, demonstrate initiative and manage multiple tasks and deadlines in a fast paced environment.


Primary Activities

I-9 Forms


·


Maintain I-9 files (active employee files, name changes and termed employee files) in accordance with regulation standards.


·


Update I-9 forms in accordance with federal regulations


·


Ensure that supporting documents are valid (expiration dates, new documents are provided upon name change, etc…)


·


Regulatory University Administrator


·


Coordinate with Compliance/Security department to create and design required curriculum based on federal/state regulations.


·


Create and maintain groups.


·


Assign required courses as required.


·


Create new courses as requested.


·


Perform audits to ensure proper information/groups


·


Employee Training


·


Responsible for corporate seminar/webinar requests.


·


Sends requests for approval, notifies manager of approval, and charges to proper department.


·


For telephone and webinar requests, will send requests for approval, notify manager of approval, charge to appropriate department, schedules room on proper date, sends invitation to appropriate personnel and provides roster to facilitator.


·


Provides monthly, quarterly and annual reports regarding seminar requests and costs involved as requested by Employment & Training Officer and/or HR Manager.


·


Responsible for recording employee training, maintaining employee training files and providing reports based on this information.


·


Create and Maintain HR Reports


·


Finance Control Reports (Officer/Board Report, Employee Count, FTE, etc.)


·


HR Reports – Monthly Overtime, Annual vacation calendar and eligibility distribution & tracking, other monthly & quarterly reports as requested.


·


Provide Assistance with Corporate Events & Activities


·


Annual Employee Service Awards Dinner


·


Annual United Way Campaign


·


Tracking and distribution of corporate-wide fundraising events (ex: Jean’s Days, etc.)


·


Responsible for the administration of the Human Resources Portal


·


Responsibilities include but not limited to: bulletin board, birthday list, updating of forms and resources, performing daily, weekly and monthly updates.


·


Handles HR Department Billings & Budget Tracking


·


Billings include but are not limited to: VISA, Arkadin, flowers & charitable contributions, background screening, drug screening, NMLS, etc.


·


Maintains and tracks monthly HR departmental budget spreadsheets in accordance with HR department billings.


·


Responsible for the FFC Telephone Corporate Directory


·


Send weekly updates to Information Technology with requested changes.


·


Send IPI, Garage and FSI paper copies of phone directory on a monthly basis or as requested.


·


Update directory as needed


·


Respond to any inquiries/changes pertaining to the corporate directory.


·


Other HR Activities


·


Provide project assistance per HR department strategic goals.


·


Provide assistance and recordkeeping associated with the coordination of corporate wellness program and activities.


·


Serves as backup for recruitment efforts by, screening, interviewing and selection of employees to fill vacant positions within the organization.


·


Completes as needed the HR paperwork for new hires, terminations, transfers, and promotions.


Serves as an employee contact for general questions arising on the HR portal, FFC corporate directory, Regulatory University, employee training, and wellness activities.


Any other duties as assigned.
