Area Planning Assistant Planning/Bookkee... job - Vigo County, IN - Terre Haute, IN



Under the supervision of the Executive Director, the Assistant Planning & Bookkeeping will assist in the assignment of addresses and performs a variety of other duties in assisting customers and in support of the efficient operation of the department.

Examples of Duties:

  • Assists with data collection, research information, and assists with planning functions of the department; creates and maintains all current and future computer databases, spreadsheets, graphs, etc. for the department.


  • Assists with addressing the county; maintains addressing database; issues and corrects addresses; conducts field inspections of address problems; works with E-911 regarding addresses and provides reports.


  • Answers questions in reference to property ownership, address verification, zoning verifications, and parcel #s.


  • Keeps supply and inventory records as well as quietuses monies. .


  • Maintains books, payroll, employee records, and claims. .


  • Maintains files and filing systems (hard copies).


  • Assist with preparation of visual displays for reports, meetings, and other departmental functions; assist with packets.


  • Assist the Directors, planners, developers. coworkers, other agencies and the public with request, as necessary.


  • Prepares IIPS.


  • First to answer phone and assist the Director.


  • Performs other related essential duties as required.


Typical Qualifications:

  • Bachelor’s degree preferred.


  • College credits with five years relevant work experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Physical Requirements :


  • Ability to operate a variety of automated office machines including calculator, copier, computer, telephone system, fax machine, etc.; ability to coordinate hands and eyes in using automated office equipment; ability to operate motor vehicle.


  • Ability to exert physical effort in light work involving occasional lifting, carrying, pushing, and pulling; ability to stoop, kneel, crouch, and crawl; ability to climb and balance; tasks require visual perception and discrimination.


Mathematical Ability:

  • Ability to add, subtract, multiply, divide, calculate decimals and percentages, and measure data.


Language Ability and Interpersonal Communication :

  • Ability to comprehend and correctly use a variety of informational documents including agency reports, subdivision plats, zoning petitions, building permits, billing invoices, aerial photos, tax records, deed records, and other reports and records.


  • Ability to comprehend a variety of reference books and manuals, including zoning maps, law books, ordinances, computer handbooks/manuals, etc.


  • Ability to prepare permit listings, address listings/reports, memorandum, correspondence, and other job related documents using prescribed format and conforming to all rules of punctuation, grammar, diction and style.


  • Ability to utilize departmental software.


  • Ability to accurately record and deliver information, meet deadlines, and maintain confidentiality of restricted information.


  • Ability to make independent judgments in absence of management, use common sense, and utilize the principles of rational systems in the performance of tasks.


  • Ability to learn and understand departmental terminology, language, principles, and techniques; ability to expound on knowledge of topics related to primary occupation.


  • Ability to work under moderately stressful conditions, to respond immediately to crisis situations, and to balance priorities within and between offices/departments.


  • Ability to maintain personal composure and tactfully handle difficult situations and interpret questions correctly; ability to behave in a friendly, understanding, helpful and professional manner with clients/customers, coworkers, supervisors, and the general public.


  • Ability to advise and interpret the application of policies, procedures and standards to specific situations; ability to explain, demonstrate and clarify to others within well-established policies, procedures and standards.


  • Ability to communicate effectively with immediate supervisor, coworkers, E-911 personnel, fire departments, township trustees, county agencies, and the general public verbally and in writing; ability to speak with and before others with poise, voice control, and confidence using correct English.


Environmental Adaptability :

  • Ability to work effectively in an office environment; ability to work outdoors being exposed to weather extremes.
