Academic Advising Assistant job - Ivy Tech Community College - Terre Haute, IN

The primary purpose of this position is to provide administrative support within the Academic Advising Center, and will report to the Academic Advising Center Director.

Major Responsibilities

Customer Service

Demonstrate a strong customer service and/or student advocacy through a positive attitude of approachability, adaptability, strong problem-solving and desire to identify and support student success.

Engage in behaviors that create an inclusive environment in which all people are valued and supported.

Go beyond the easiest or surface answer for a student, or an internal or external customer, and get to the root cause of the problem, question or issue to solve it as quickly and professionally as possible.


Reception Area

Greet students and prospective students who access the Academic Advising Center or phone, respond to their inquiries, and direct them to appropriate services.

Quickly determine needs by asking appropriate questions and answer questions in a positive manner.

Help to determine students’ next steps by knowledgeably handling situations or phone calls.


Administrative and Information Management Support

Maintain information systems and databases necessary to record and track activities with student and other individuals/organizations.

Use computer applications to assist with general office tasks.

Assist with information resources and distribution such as display units, informational kiosks, and web portals to ensure student access to materials and supplies related to the Student Success Center.

Order, duplicate, etc. materials as needed to keep units fully stocked. Technical Support

Manage the sign-in and tracking process for the office.

Attend Staff meetings and training as scheduled or needed.

Minimum Qualifications

High School Diploma required. The assistant is expected to be able to process and respond quickly, efficiently and thoroughly to a variety of information requests in a positive and personal manner. Must be able to effectively communicate and give directions and operate as a positive team member. Ability to work under stress during peak activity times and demonstrate considerable patience and diplomacy. Ability to handle difficult situations to reach positive solutions. Work on own initiative. Basic computer knowledge (including Word, Excel and Outlook and databases) necessary to complete work. Experience with Banner preferred.


Preferred Qualifications

A.A.S. preferred.
