Auditor Deputy/Claims job - Vigo County, IN - Terre Haute, IN
Examples of Duties:
Normal intake of 200-200 claims per week from county departments for payment to vendors.
This may double at certain times of the year.
Processing Claims prior to data entry into software. Claims must be checked for correct fund and account numbers, amounts, vendor information, invoices, receipts, supporting documentation, W9’s, delinquent property taxes, and compliance with State Board of Accounts rules. If a claim is incorrect, the department must be contacted for corrections or clarification and in some cases the vendor via email for documentation purposes.
Processing Claim into software. Claims are entered into the software for payment. At this time it is necessary to check if the funds are available to make this payment. Once all entries are made the entire batch is totaled and balanced. Checks are printed, sorted and mailed to vendors.
Processing claims on file. Once everything is processed, all claims are scanned and filed as hard copy and in computer by department.
Maintenance of W9’s for all vendors. W9’s are kept on file for all vendors. If a new W9 is required it must be verified with the IRS. Twice a year current records are checked against IRS records. If notice is given that a W9 does not match their records, the vendor must be contacted to issue a new W9.
Commissioners Meetings. Reports are ran weekly for claims paid in the previous week including payroll for submission to the Commissioners.
Backup to Deputy Auditor. Process Quietuses as needed. This requires checking Report of Collections for errors. If necessary contacting departments for corrections. Entering data software and distributing quietuses to Treasurer and departments.
Typical Qualifications:
High school diploma or GED.
Ability to meet all Department hiring requirements, including passage of a drug test and criminal background check.
Working knowledge of standard office policies and procedures and Department computer systems and related programs, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.
Thorough knowledge of accounting systems and requirements and regulating/auditing agencies, with ability to perform arithmetic operations to maintain complete and accurate accounting records, and compile timely accurate financial reports.
Working knowledge of Standard English grammar, spelling and punctuation and ability to complete various forms/documents and prepare written reports as required.
knowledge of basic filing systems and ability to create and maintain Department files and records.
Ability to operate standard office equipment, including computer, calculator, telephone, copier, and fax machine.
Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including sensitive to professional ethics, gender, cultural diversities and disabilities.
Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
Ability to provide public access to or maintain confidentiality of department records and information according to state requirements.
Ability to understand, memorize, retain and carry out oral and written instructions and present finding in oral or written form.
Ability to compare or observe similarities and differences in data, compile, collate, or classify date, analyze and evaluate, make determinations based on data analyses.
Ability to work alone with minimum supervision and with others in a team environment.
Ability to occasionally work on several tasks at the same time, and work rapidly for long periods under time pressure.
Ability to occasionally apply knowledge of people and/or locations.
Supplemental Information:
Incumbent Maintains contact with co-workers, other County Departments, and the public for the purpose of exchanging information.
Incumbent reports directly to Chief Deputy.
Incumbent performs duties in a standard office environment, involving sitting/walking at will, keyboarding, close vision, lifting/carrying objects weighing less than 25 pounds, speaking clearly and hearing sounds/communication.
