Adoption Counselor - Terre Haute Humane Society - Terre Haute, IN






Primary Function:
Primary contact for customer/public, city/county agency communications; customer requests in the form of phone calls, emails, and onsite visits. Administration of and primary contact for database storage of applicable customer contact and animal information. Provide potential adopters with proper courteous service while giving guidance in selection of appropriate animal.


Duties and responsibilities:


  • Maintain current agency database files and manual tracking systems as required ensuring accurate and up to date information on all animals and customer/public contacts.

  • Accurately record all monetary transactions.

  • Develop working knowledge of database maintenance, animal care, adoption applications processes and proper response to public/volunteer inquiries.

  • Meet requirements for back-up purposes when other personnel are out of the building.

  • Daily contact and follow-up on outstanding issues. Timely update to immediate supervisor and other individuals as required on outstanding issues.

  • Provide accurate and up to date information for customers; shelter personnel, staff, volunteers

  • Submit and maintain files to agencies, as required.

  • Actively work to increase agency revenues by advising customers/public of all services available such as, but not limited to microchipping, street spays, community events/fundraisers, cash donations.

  • Assist potential adopters with selection of an animal, completing adoption application.

  • Review adoption applications for approval/denial

  • Complete adoption process including all paperwork, data entry, microchipping and proper instructions to adopter for veterinary follow-up, spay/neuter, insurance.

  • Frequently check and respond to phone messages and emails.

  • Monitor Lost/Found animals and make notifications as needed to insure proper return to owner including all necessary paperwork, microchipping and fee collection.

  • Maintain general work area and clean front cat room, lobby, front bathroom, front office, front closet or any area designated for the particular day. Provide backup cleaning for off duty staff in other areas of the building

  • Provide proper animal care in designated areas including but not limited to cleaning cages, noting observations as to possible illness and medicating.

  • Process all animal intakes from city; county; and general public. Including but not limited to age and sex determination, coat coloring, special needs or identifying characteristics, noting any known health/aggression issues, collection of intake fees and finding suitable kennel arrangements for the animal. Process to be accomplished by utilizing any information provided by relinquishing party to insure safety of both staff and animal.

  • Schedule appointments for Street Spay/Neuter, Owner relinquishes, viewing of animals in foster care by potential adopters.

  • Demonstrate ability to coordinate daily work with volunteers

  • Must be available to work any day of the week on a possible rotating schedule

  • Provide daily Quality of Life to animals by interacting with them as time permits and walking dogs every day as time permits.

  • Observe animals in kennel areas noting any of the following symptoms:

Unusual fecal results, vomiting or failure to eat or drink
Lethargy, unusual discharges, sores or hair loss
Unusual behavioral issues
Report any of these symptoms to animal health care specialist, kennel supervisor or general manager.


  • Any other duties as specified by supervisor

Education/Experience
High School diploma or equivalent (GED), some college is preferred and one year experience working with the public or Not-for-profit organizations in addition to animal handling skills, animal behavior or care.


Skills


  • Ability to Utilize and comprehend instructions, correspondence and memos.

  • Excellent communication skills.

  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

  • Knowledge of animal boarding/grooming/handling processes used in rescue shelters and boarding facilities.

  • Basic knowledge of animal control, and city/county and state ordinances as they relate to the Terre Haute Humane Society.

  • Basic understanding of animal care terminology

  • Working knowledge of computers, Microsoft word and excel and general office functions

  • Proven ability to work with varying personality types

  • Business and Personal References required

  • Ability to maintain confidentiality of various types of information as required

Certificates, Licenses, Registrations


  • Valid Driver’s License or State Id required

  • Legal United States Citizen

Physical Demands:
The physical demands described here are representative of those needed to successfully perform the essential functions of this job. Must be able to stand, walk, use hands to finger, touch, handle, or feel; reach with hands and arms; speak and hear. The employee on occasion may be required to sit, climb, balance, stoop, kneel, crouch and crawl. Must be able to lift and/or move up to 100 pounds with assistance. Specific vision requirements include close, distance and peripheral vision.


Work Environment
While performing daily duties of this job the employee is regularly exposed to high noise levels, noxious odors, fumes or airborne particles; toxic or caustic chemicals and potentially volatile situations that can present risk of violence or injury. Employee must be able to identify workplace hazards that if not handled appropriately could cause injury. Employee must take necessary precautions and or safety measures to respond to and prevent hazards and/or injury.
