ESSENTIAL JOB FUNCTIONS:
·


Pulls or orders charts for updating all information prior to scheduled appointment.


·


Types and makes new charts.


·


Files all dictation in charts; i.e. Hospital, lab reports.


·


Sends all copies of dictation to doctors and other interested parties.


·


Answers telephone, schedules appointments, and takes messages as needed.


·


Reschedules appointments as needed.


·


Prepares charge tickets.


·


Repairs old patient charts as needed.


·


Updates all information in computer.


·


Verifies referrals from PCP to specialist.


·


Calls patient to confirm future scheduled appointment.


·


Sends reminder letter of future appointment.


·


Performs duties of Receptionist or Patient Account Representative following their job description as needed.


·


Files various insurance claims; i.e. primary, secondary, and disability.


·


Sends requested additional information to various insurance companies.


·


Assists patients and insurance companies on the phone with insurance problems or questions.


·


Assists patients at the window/counter.


o


Sets up insurance.


o


Answers insurance inquiries.


o


Verifies insurance eligibility.


·


May obtain necessary referrals and authorizations.


o


Notifies supervisor or appropriate person if necessary form or number not received.


o


Completes proper form for non-referral or waived visit.


§


May review Medicare, HMO, Medicaid, UMWA, or private insurance EOBs for correct payment and information.


§


May prepare related types of letters:
·


Referral letters


·


Return to work letters


·


Medical necessity letters


o


May complete necessary nursing home request letters.


o


May process missing ticket reports.


o


Works outstanding invoice/reports, contacting insurance companies regarding claim status.


o


May adjust and/or correct fees, procedures, and diagnosis; i.e. HMO, etc.


o


Audits patient accounts.


o


Utilizes computer system to print patient information for distribution to the department.


o


Requests or obtains EOBs for inquiry purposes.


o


Requests referral forms.


o


Attends insurance meetings, both in office and outside of office.


o


Interacts with physicians to obtain proper diagnosis for insurance purposes.


o


Sets up new patient insurance information.


o


Sets up employers into the computer master file.


o


Follows up on self-pay patients to assure payments are made on account.


o


Assists patients on indigent care programs in obtaining goods and services.


o


Calls specialists with referral numbers.


o


Provides assistance for Clinic patients in obtaining prior authorizations for referrals, outpatient procedures, and admissions using established requirements.


o


Maintains accurate files of referral information.


o


Enters authorizations into Clinic computer system.


o


Works with Clinic office personnel to ensure proper filing of claims.

PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to stand, walk, sit, use hands to finger, handle or feel objects, tools, or controls and reach with hands and arms.
