CASA Part-time Administrative Assistant - Vigo County, IN - Terre Haute, IN

Incumbent serves as Administrative Assistant for the Vigo County Court Appointed Special Advocates Program [CASA], responsible for providing administrative support to department operations and staff.

Examples of Duties:


Files court documents, and assists with file audit.


Request and finalize court reports from CASA volunteers.


Reconcile court hearing book with various court calendars.


Filemark court reports from volunteers with Juvenile Court.


Distribute filemarked reports to Juvenile Court, DCS, family members and attorneys [if applicable].


Set up files for new CHIN cases.


Filing of court documents received from Juvenile Court.


Update and maintain kids Wait List.


Performs various clerical duties, including, assisting with preparation of CASA newsletter, preparing and reviewing written documents, photocopying, scanning, mailing, filing, and keeping records.


Appoints and releases CASA volunteers to and from cases and issues letters of Introductions for CASA.


Performs related duties as assigned.


Typical Qualifications:


High school diploma or GED.


Ability to meet all employer and department hiring requirements, including passage of a drug screen.


Working knowledge of standard office practices and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.


Working knowledge of bookkeeping functions, and ability to perform arithmetic calculations to assists with financial management.


Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare various documents and reports as required.


Ability to property operate standard office equipment, such as computer, calculator, fax machine, copier, and telephone.


Ability to provide public access to or maintain confidentiality of department information and records according to state requirements.


Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.


Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.


Ability to understand, memorize, retain, and carry out written and oral instructions, and present findings in oral or written form.


Ability to compare or observe similarities and differences in data, coordinate, and make determinations based on data analyses.


Ability to work alone with minimum supervision and with others in a team environment.


Ability to work on several tasks at the same time and work rapidly for long periods, often under time pressure.


Ability to apply knowledge of people and/or locations, and plan and layout assigned work projects.


Ability to count, perform arithmetic calculations.


Ability to plan and present public speaking presentations, fund raisers, and special events.


Ability to occasionally work extended, weekends, and/or evening hours, and occasionally travel out of town for conferences, sometimes overnight.


Supplemental Information:


Incumbent performs a majority of duties in a standard office environment, involving sitting/walking at will, sitting for long periods, keyboarding, lifting/carrying objects weighing less than 25 pounds, speaking clearly, and hearing sounds/communication. Incumbent occasionally works extended, weekends, and/or evening hours, and occasionally travels out of town for conferences, sometimes overnight.


Incumbent reports directly to CASA Director.
