Primary Activities

ACCOUNT NUMBERING
·
Process incoming checking and savings signature cards to ensure proper completion. Confirm required legal documents are received with signature cards.
·
Verify signature cards for all newly opened accounts are received through new accounts report.
·
Place holds on new accounts where signature card were not received.
·
Monitor request system and follow up with Branches to ensure signature cards and other missing documents are received.
·
Perform quality review of information provided by account holder has been properly entered into the system and make corrections as necessary.
·
Assist Branches with questions regarding customer accounts.
·
Process title changes, product type changes, and other changes made to checking and savings accounts.
·
Compare documents received with Encore Work Queue.
·
Complete maintenance on employee accounts.
·
Complete quality control tracking reports.
TIN/OBITUARIES
·
Review Obituaries in newspapers/online within FFB service area and compare to current customer database.
·
Complete log sheet with customer and account(s) information at time of death.
·
Review original account opening documents and subsequent payable on death forms to ensure possible beneficiary information is noted.
·
Complete maintenance on deceased customer’s CIF and accounts including placing holds/cautions, retitling accounts to joint owners or beneficiaries, and moving current interest paid to OTC file.
·
Create Estate CIF for individually owned accounts without beneficiary information.
·
Send correspondence to surviving heirs notifying them of any required documentation to release accounts.
·
Provide copy of log sheet(s) to appropriate departments (ACH, Online banking, etc) so they may update their files and complete necessary maintenance.
·
Assist Branches and customers with any questions regarding decedent accounts.
·
Process all W-9s, W-8s, VISAs, and Passports ensuring correct documents were received and information is correctly reflected on customer’s CIF.
·
Follow up with Branches to ensure missing or corrected documents are received.
CIF
·
Process address change forms.
·
Ensure proper authority was received for change, review all customer accounts for additional changes necessary, and complete changes.
·
Complete maintenance to remove accounts from Lost Contact status.
·
Combine duplicate CIFs.
·
Review Address Verification letters to eliminate duplicate and unnecessary mailings.
·
Process returned checking, savings, CD, and IRA account mail due to incorrect address.
·
Complete Lost Contact maintenance to prevent future mailings and alert Branches new address should be obtained from customer.
·
Enter Lost Contact accounts into tracking system.
·
Correspond with customers via tracking system to obtain new address.
·
Process monthly Potential Dormant report and complete dormant maintenance on all qualifying accounts.
·
Monitor Dormant Daily Status Change report; changing accounts removed from dormant status systematically due to service charges to closed status to prevent unauthorized use.
·
Assist Branches in getting proper documents from customer to remove accounts from dormant status.
·
Process OPT Out forms, Combined Statement maintenance, and Club account auto-deposit forms.
·
Complete necessary entries when Club account checks are generated.
·
Assist Branches with replacement of lost Club account checks.
·
Complete quality control tracking reports.
·
Compare documents received with Encore Work Queue.
·
Responds to requests for assistance from branches regarding customer accounts.
CD
·
Process incoming CD documents to ensure proper completion.
·
Verify interest rate given on new CDs and CD Modifications are correct or proper approval was received for special rates.
·
Verify required legal documents are received.
·
Follow up with Branches to ensure missing documents are received.
·
Perform quality review of information provided by account holder has been properly entered into the system and make necessary corrections.
·
Monitor New Accounts report to ensure a CD Control Copy is received for all newly opened CDs.
·
Complete account maintenance.
·
Compare documents received with Encore Work Queue.
·
Review close-out documents for proper endorsement.
·
Calculate formulas, percentages, and figures as they relate to new and cashed-out CDs.
·
Process deposits, withdraws, and close-out transactions on customer accounts.
·
Monitor Branch processed transactions for accuracy through Workstation Balancing report.
·
Follow up with Branches to coordinate correcting entries are completed if necessary.
·
Process and mail CD interest checks, notices, and compounding schedules.
·
Complete quality control tracking reports.
·
Responds to requests for assistance from branches regarding customer accounts.
IRA
·
Review and process incoming IRA and HSA documents to ensure proper completion.
·
Correspond with Branches to coordinate necessary corrections.
·
Perform quality review of account holder information to ensure it has been properly entered into system and make corrections as needed.
·
Monitor New Accounts report to ensure documents are received for all newly opened IRAs.
·
Calculate formulas, percentages, and figures as they relate to new and cashed-out IRAs.
·
Create Distribution forms within Encore for Branches to print and obtain customer signature.
·
Process all deposits, withdraws, and close-out transactions on IRA accounts.
·
Process Transfer and Rollover requests from customers and other institutions.
·
Process Beneficiary accounts after IRA/HSA owner’s death by creating new accounts, generating documents, and corresponding with beneficiaries.
·
Review annual reports relating to IRA RMD requirements and facilitate customer mailings.
·
Establish automatic payouts and monitor activity to ensure accuracy.
·
Process daily Exception reports.
·
Assist Customers and Branches with all aspects of IRAs and HSAs.
