Special Collections Assistant Librarian - Vigo County Public Library - Terre Haute, IN


SPECIAL COLLECTIONS ASSISTANT LIBRARIAN: The Vigo County Public Library currently has a full-time position available at the Main Library for the position of Special Collections Assistant Librarian. This salaried non-exempt position offers 40 hours per week in the Special Collections Department.


GENERAL DESCRIPTION: The Special Collections Assistant Librarian provides service to customers in the Special Collections department including assistance with SPC equipment, utilization of databases, genealogy and obituary inquiries, as well as assisting with local history inquiries and with the processing and maintenance of archival collections. The Special Collections Assistant Librarian provides excellent customer service while meeting the goals and objectives of the Vigo County Public Library.


JOB FUNCTIONS:


Essential Functions Performed Daily :


  • Staff the Special Collections desk as scheduled.

  • Assist customers in the use of all materials and equipment in the Special Collections Department.

  • Provide frontline reference and research assistance for customers in person, by telephone and/or e-mail.

  • Assist with maintaining the collection by shelving and re-filing materials, checking condition of materials and sending damaged items to Technical Services for repair.

  • Provide research support of the collection.

  • Refer customers to the Special Collections Librarian or Special Collections Manager for advice on access, reference, use and interpretation of archival materials and research support of the collection.

  • Read customer correspondence and respond appropriately.

  • Resolve customer problems and concerns in Special Collections in consultation with the Special Collections Manager.

  • Work with the Special Collections Manager and Community Connections Coordinator to promote public programs and services of Special Collections.

Essential Functions Performed at Least Weekly :


  • Assist with Special Collections indexing and digitization projects.

  • Confer with the Special Collections Manager and Special Collections Librarian to ensure methods of safekeeping for permanent records and historically valuable documents.

  • Cooperate with local historical society and other community organizations regarding local history projects, as needed.

  • Assist the Special Collections Manager in creating content for marketing Special Collections to be published on the library’s social media channels.

Essential Functions Performed Periodically :


  • Work with the Special Collections Manager to create, mount and maintain local finding aids to include historical/biographical notes, scope and content information and descriptive container inventory for archival materials on the Web using EAD encoding.

  • Maintain an appropriate knowledge of recent advances or trends in content management and related fields through reading, networking, training and attending conferences, workshops or other means of current awareness for professional development.

  • Maintain appropriate knowledge of copyright issues as they pertain to the use, access, and distribution of archival and special collections materials.

  • Work with the Special Collections Manager in developing library exhibits that highlight the materials in Special Collections.

  • Assist with preparation and/or presentation of department reports for the VCPL Board as directed by the Special Collections Manager and the Community Connections Coordinator.

Additional Functions Performed Periodically:


  • Assist with compilation of monthly statistics for reference and research assistance provided to VCPL customers.

  • Work with the Special Collections Manager and Special Collections Librarian to maintain proper storage areas and arrangement of materials as well as investigate and make recommendations for the use of new technologies that manage the long term storage of information.

  • Participate as assigned, appointed, or elected to committees, offices or projects that serve the library.

  • Perform other duties to serve the library as assigned.

PHYSICAL AND COGNITIVE REQUIREMENTS:


  • Ability to read, write and understand written and verbal instructions.

  • Ability to effectively communicate with customers and staff members.

  • High degree of mental acuity and verbal communication skills.

  • Ability to effectively prioritize and organize workload and workflow.

  • Ability to utilize computer keyboard.

  • Ability to file alphabetic and numerical systems.

  • Ability to lift items ranging from 10-25 pounds.

  • Ability to stand or sit for long periods of time.

  • Ability to reach heights up to six feet and bend to floor levels.

  • Ability to push carts from 25-75 pounds.

  • Ability to perform repetitive hand movements using computer keyboard.

WORK SCHEDULE : 40 hours per week work schedule. The primary work schedule is 9:00 AM-6:00 PM, with 1:00 PM-9:00 PM evening shift and weekend rotation. Schedule also includes some evening and weekend work to assist with special programs and events. Sunday rotation hours from 1:00 PM-5:00 PM are paid at over-time rate.


QUALIFICATIONS:


  • Bachelor’s degree preferred; Associates degree or 60 hours of college required, and 9 semester hours of required library science courses (or pursuant of library science coursework requirements).

  • Must be able to obtain Indiana Librarian Certification at the Professional Assistant Level, LC5. Level 5 requires at least 60 hours of college or associates degree and 9 semester hours of required library science courses. Requires 50 Library Education Units every 5 years to maintain certification. Individuals unable to meet the certification requirement may apply for a one year temporary certification up to 3 times over 3 years while working towards the education requirement to become certified.

  • Two years of library customer service experience required.

  • Two years of experience in archives or related field of information management preferred.

  • Computer keyboard skills required with familiarity with computer systems in general, database management and electronic record keeping including knowledge of standard data exchange formats and Internet-based publishing and encoding.

  • Ability to work independently, maintain efficient workflow and maintain confidential information required.

  • Ability to work well with others, display of tact and patience required.

  • Ability to interact as a team member in a multicultural environment required.

  • High degree of resourcefulness, patience and demonstrated good judgment required.

  • Strong interpersonal skills and the ability to work effectively with a wide range of people in a diverse community required.

  • Ability to address customer behavior that is non-compliant with the VCPL Standards of Behavior.

  • Prior experience in and enthusiasm working for the public desired.

  • Ability to project friendliness, enthusiasm, and a positive attitude required.

  • Excellent oral and written communications skills required.

SALARY/BENEFITS: Job Class 6, full-time salaried non-exempt position. Annualized salary of $25,200.24 ($969.24 bi-weekly in 2016); optional participation in the Anthem Blue Cross Blue Shield PPO Health Plan or High Deductible Health Plan with HSA, Anthem Blue View Vision Insurance, and Guardian Dental insurance (in 2016 employee contributes $136.88 per month for single employee coverage for participation in PPO Health/Vision/Dental plans, or $22.38 for single employee coverage participation in HDHP with HSA/Vision/Dental plans); paid Life Insurance; paid Long Term Disability Insurance; 100% paid participation in Indiana Public Retirement System; eligible for 11 paid holidays per year; vacation and sick accrual occurs bi-weekly with the equivalent of 2 vacation days and 1 sick day for every active month of employment.
