DeputyCommissionersClerk - Vigo County, IN - Terre Haute, IN


Incumbent serves as deputyCommissions Clerk for the Vigo County Auditor’s Office, responsible for assisting with coordinating and instructing positions involving tax system, completing corrections to real estate and personal property taxes for the County and assisting with calculation of abstracts and settlement figures, and maintaining records for Commissioners.

Examples of Duties:
Answers telephone and greets office visitors, providing information, assistance, and direction, andor taking and delivering messages.


Posts deductions and exemptions, and assists taxpayer in filing various deductions. Computes taxes for the public.


Calculates tax abatements, answering questions regarding tax abatements and maintaining related files.


Posts, totals, and balances assessments and deductions on real property and personal property.


Adjusts tax bills on real estate and personal property taxes in the County.


Calculates corrections of error, and omitted of undervalued property.


Processes and calculates refunds for County and maintain related filed.


Maintains tax incremental finance districts (TIF).


[Assists with preparation of abstract and settlement figures.


Enters and balances grass liens certified from County Building inspections and City of Terre Haute.


Calculates and files reports as required by law.


Assists with tax sale when needed.


Takes and transcribes Commissioners minutes and maintains related files.


Advertises legals on bids, maintains related book, and sends correspondence to bidders.


Compiles and prepares bid specifications, and verifies submitted bids.


Organizes awarded bids, prepares and distributes copies to involved agencies.


Maintains inventory for office and departments within the County, and updates as necessary.


Performs related duties as assigned.


Typical Qualifications:
High school diploma or GED, with one to two years relevant experience, or any equivalent combination of education, training, and experience.


Ability to meet all department hiring requirements, including passage of drug test and criminal background check.


Working knowledge of standard office policies and procedures and Department computer systems and related programs, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.


Working knowledge of and ability to comprehend and correctly use a variety of informational documents, including tax statements, tax refund claim forms, abstract forms, deductions, exemptions and appeals forms, tax abatement forms, various other forms, reports, and records.


Working knowledge of and ability to comprehend a variety of reference books and manuals, including, but not limited to, policy manual, Indiana Code, Auditor’s manual, County bulletins, computer and software handbooks/manuals.


Knowledge of standard English grammar, spelling and punctuation, and ability to prepare deductions, tax statements, claim forms, abstract forms, correspondence and other job related forms and documents.


Knowledge of basic filing systems and ability to create and maintain department files and records.


Ability to operate standard office equipment, including computer, calculator, transcriber/Dictaphone, telephone, copier and fax machine.


Ability to effectively communicate orally and in writing with co-workers, other City/County departments, State Board of Accounts, State Auditor, software vendors, and the public including being sensitive to professional ethics, gender, cultural diversities and disabilities.


Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.


Ability to provide public access to or maintain confidentiality of department records and information according to state requirements.


Ability to understand, memorize, retain and carry out oral and written instructions and present findings in oral or written form.


Ability to compare or observe similarities and differences in data, analyze and evaluate data, and compile, collate or classify data.


Ability to work alone with minimum supervision and with others in a team environment.


Ability to work on several tasks at the same time and work rapidly for long periods, often under time pressure.


Ability to apply knowledge of people and/or locations, and plan and layout assigned work projects.


Ability to compute, calculate taxes and assessments, and perform simple arithmetic calculations.


Ability to occasionally read and interpret detailed prints, sketches, layouts, specifications, and maps.


Ability to occasionally work extended, weekends, and/or evening hours, and occasionally travel out of town for conferences/training, sometimes overnight.


Supplemental Information:
Incumbent performs duties in a standard office equipment, involving sitting/walking at will, sitting for long periods, lifting /carrying objects weighing less than 25 pounds, keyboarding, speaking clearly, and hearing sounds/communication. Incumbent occasionally works extended, weekends, and/or evening hours, and occasionally travels out of town for conferences/training, sometimes overnight.
