Community Corrections Secretary - Vigo County, IN - Terre Haute, IN

Incumbent serves as Secretary for Vigo County Community Corrections, responsible for providing administrative support to Department personnel.

Examples of Duties:
Answers telephone and greets office visitors, determining nature of call, providing information and assistance, scheduling appointments, taking messages, and/or referring callers to appropriate individual or department.

Receives, posts and receipts client payments and user fees. Prepares and makes bank deposits and distributes information to appropriate office personnel. Audits/compiles list of delinquent program participant accounts on an annual basis and forwards to collection agency for outstanding past due fees.

Performs various clerical tasks, including, but not limited to, composing and typing correspondence, documents and reports; creating and maintaining records/file/logs; collecting and distributing mail/faxes; entering information in computer; compiling data; and generating reports.

Schedules appointments and makes reservations for department personnel as requested.

Assist Executive Director as needed, including taking notes, maintaining notebooks, preparing minutes, coordinating meetings, and preparing handouts.

Maintains and distributes monthly client list to all local law enforcement agencies in accordance with State law.

Prepares daily Jail list for staff.

Enters and tracks employee attendance and overtime and contacts job candidates for interviews, compiling information and documents from applicants as appropriate.

Oversees intern and volunteer programs, including dress code, scheduling, tracking time, running background checks, and corresponding with professors.

Performs duties of other office staff in their absence or as needed.

Performs related duties as assigned.


Typical Qualifications:
Associates degree.

Must be at least 21 years of age.

Working knowledge of standard office policies and Department computer software programs, and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.

Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence, documents and written reports.

Knowledge of standard filing systems and ability to create and maintain Department files and records.

Ability to operate standard office equipment, such as computer, telephone, calculator, copier, fax machine, scanner and shredder.

Ability to effectively communicate orally and in writing with co-workers, other County departments, Department of Corrections, clients, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.

Ability to provide public access to or maintain confidentiality of Department information and records according to state requirements.

Ability to comply with all employer and Department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.

Ability to understand, memorize, retain, and carry out oral and written instructions and present findings in written or oral form.

Ability to add, subtract, multiply, divide, calculate decimals and percentages, and measure data.

Ability to work alone with minimum supervision and with others in a team environment, often amidst frequent distractions and interruptions, and on several tasks at the same time.

Ability to apply knowledge of people/locations, plan/layout work assignments, and manage time and resources effectively.

Possession of a valid Indiana driver’s license and demonstrated safe driving record.


Supplemental Information:
Skills testing will be given to final candidates.


Incumbent performs duties in standard office environment and at a service counter, involving sitting/walking at will, keyboarding, lifting/carrying objects weighing less than 25 pounds, handling/fingering objects, color perception, hearing/communication, and speaking clearly. Incumbent maintains frequent contact with probationers and may be exposed to irate/hostile persons.
